Hotel Proposal Setup: What to Ask Before Booking the Room

Check hotel permission, decorator access, candle rules and checkout arrangements before planning a proposal room surprise.

Booking a hotel room and booking permission to decorate it are two different arrangements. A room may look ideal online but have restrictions on access, candles, wall attachments or moving furniture. Ask the hotel about your plan before paying for a setting that cannot support it. The goal is a private reveal with a realistic setup window.

Speak to the right hotel contact

Explain that a decorator needs to enter before you and your partner arrive. Ask who can approve that access and what identification or booking details are required. Confirm whether the team can collect a key or must be escorted. Keep the arrangement between the authorised contacts; do not rely on an unconfirmed promise made by someone who cannot approve the setup.

Confirm the room and setup window

Ask whether the specific room can be ready early enough for decorating. Normal check-in time may leave little time before dinner or the reveal. If early access cannot be guaranteed, change the plan rather than squeezing installation into an uncertain slot. Tell FOA the confirmed access time, the reveal time and any restrictions on loading or equipment.

Check candles, petals and attachments

Some hotels restrict flames, scattered petals or anything attached to walls and ceilings. Ask explicitly about each element you want. Discuss acceptable alternatives with the decorator and confirm cleanup responsibilities. Never approve a reference photograph as an exact setup without checking that its features are permitted in the room.

Keep the surprise respectful

Choose a cover plan that suits your partner: dinner, a walk or another activity they would enjoy anyway. Decide where you will wait if the room is not ready. Avoid involving too many people in the timing. If photographs or friends will be present, consider whether your partner would prefer the actual proposal to happen privately first.

Plan the next morning too

Confirm which items belong to you, which are hired and when they will be collected. Ask the hotel how checkout and cleanup should be handled. The room, dinner, photography and décor may be separate bookings, so record each one and its payment or cancellation terms. FOA can discuss room proposal styling in Abuja; the hotel must approve access and the final arrangement.

Common questions

Does a room booking automatically allow decoration?

No. Check decoration rules and decorator access with the hotel before planning the setup.

Can I copy every detail from a reference photo?

Only after materials, room layout and venue rules are confirmed. Some details may need suitable alternatives.
